Challenge
The owner had a busy café but felt uncertain whether the high-volume items were actually margin-positive after ingredient costs. POS data existed but was not being read in any structured way. Monthly accounting figures gave totals but not item-level insight.
What We Did
We connected the POS system to a focused Google Looker Studio dashboard tracking five key metrics: per-item gross margin, order volume by time of day, average ticket size, staff hours per cover, and monthly waste cost. Setup took eleven working days.
Outcome
Within the first quarter the owner identified two top-selling items with margins below 18% and adjusted pricing accordingly. Waste cost tracking surfaced a storage issue that had been invisible in aggregate figures. The owner described the process as "finally being able to see the café clearly."

Challenge

What We Did
Numbers Review session first to agree on metrics — enrolment by subject, retention rate by term, revenue per session, and cancellation rate. We then built a Power BI dashboard connected to the centre's spreadsheet records. Training covered how to update the data source monthly.
Outcome
The centre identified that one subject group had a significantly lower retention rate and was able to address the cause (tutor scheduling). Revenue forecasting in the following two terms came within 8% of actual, compared to the previous 15–20% variance. The owner has been updating the dashboard independently since the handover in February 2025.

Outcome
The first quarterly review identified one route with fuel costs running 6% above average — traced to a scheduling pattern. Receivables age tracking surfaced a client who had extended payment terms without formal agreement. The owner now presents a one-page summary to his bank contact quarterly, drawn directly from the dashboard.
